Generating Customer Invoices Using TD SYNNEX StreamOne Ion

This guide provides a step-by-step breakdown of the invoice generation process within the TD SYNNEX StreamOne Ion platform, based on the provided source material.


Before You Begin:

  • Recommended Practice: Generate invoices monthly, even if you don't use the platform's publishing and notification features. This ensures billing accuracy and provides a record of transactions. Generating invoices locks in billing for the specified period.
  • Billing Cycle: Invoices typically reflect the previous month's consumption/orders. Cloud vendors usually finalize billing data 5–15 business days after the month's end.
  • Azure Marketplace Fees: These fees aren't included in platform reports. Contact support for invoice inquiries related to Azure Marketplace Fees.
  • U.S. and Canada Partners: Verify the StreamOne Ion Billing Status Dashboard before invoicing customers to confirm the billing settlement status.
  • Timing of Price Adjustments: Modifications to pricebooks, custom charges, global discounts/uplifts, or support plans made during or after billing reconciliation will be reflected in the following month's billing report.


Generating Customer Invoices:

  1. Access Billing Reports:
    • Navigate to the "Reports" menu.
    • Select the "Billing" tab.
    • Choose the desired cloud vendor report (e.g., AWS Billing Customers Report).
  2. Set Reporting Period:
    • Select "Last Month" from the "Date Range" dropdown menu (billing is usually generated for the prior month).
  3. Select Customers:
    • Choose individual customers by checking the boxes next to their names.
    • Select all customers using the "Select All" option in the top-right "Options" menu.
    • Clear selections with the "Select None" option in the "Options" menu.
  4. Generate Invoices:
    • In the "Options" menu, select "Generate Invoices."
    • A dialog box will appear with the following options: 
      • Apply Credits: Allocate credits from any cloud vendor to a customer's invoice (if applicable).
      • Include Tax: Add applicable taxes based on the configured tax table in StreamOne Ion.
      • Include Marketplace Fees: Include AWS Marketplace Fees, which are pass-through costs with a $0 margin.
      • Use Credits for Marketplace Fees: Apply any available marketplace credits to the invoice.
  5. Preview and Manage Invoices:
    • Click "[Preview Invoices]" to review generated invoices in the billing module (displayed as "Preview Generated Billing Statements").
    • Available options for each invoice: 
      • Approve All: Approve all draft invoices for sending to customers.
      • Delete: Remove the selected draft invoice.
      • View: Examine the draft invoice in detail.
      • Approve: Approve a single draft invoice for sending.
      • Finish: Exit the invoice preview and return to the reports page.

Accessing Generated Invoices:

  1. In the "Billing" module, click "Customer Invoices" to access the list of generated StreamOne Ion Invoices (Billing Statements).
  2. Double-click "All Customers" or a specific customer to view their invoices.
  3. Select the desired "Date Range" to filter invoices by billing period.
  4. Double-click an invoice to view its details. It will be in "Draft" status initially.

Invoice Status and Customer Visibility:

  • Customers with access to your customer portal can only view invoices that are not in "Draft" status. Note: Your customers cannot pay you via the customer portal. The Streamone IOn invoices (billing statements) are for informational purposes only.

Invoice Content and Format:

  • Billing Statements (Invoices) include customer contact information and your company's logo and contact information as configured in "Settings/Account Information."
  • Invoices are organized by product type.
  • Download formats: CSV, Detailed CSV, PDF, or print.

Updating Invoice Status:

  • Draft: The initial status, hiding the invoice from customer view.
  • Open: Makes the invoice visible to customers and can trigger an automated email notification with a link to the customer portal.
  • Closed: Indicates a paid invoice.
  • Past Due: Applied when payment is not received by the due date.

Changing Invoice Currency:

  • Scroll to the upper right corner of the Billing Statement document and use the drop-down menu to select a different currency.

Additional Information:

  • Billing API: The platform offers a billing API. Enable it and generate API keys in "Settings > Account Information". For more information, please read:  How to Enable Platform Billing API. To view the system integration options, we have an API set defined in Swagger. http://api-ses.techdata.com/
  • Rounding: Values in reports are rounded for display purposes but are calculated using full precision. Reconcile costs using the detailed billing file (DBR) provided with the invoice.
  • AWS Free Tier: Due to AWS limitations, Free Tier benefits are not allocated among multiple accounts and are disregarded in billing.

Troubleshooting Invoice Errors:

  • Error Message Example: "The customer with ID #123456 does not have the currency USD enabled". 
    • Resolution: Navigate to the customer's profile, go to the "Cloud Billing" folder, and click "Cloud Providers." Ensure the "Pricebook" and "Invoice Currency" are correctly set. Save the changes and try generating the invoice again.

Important!  Any modifications to pricebooks, custom charges, and global discounts/uplifts or support plans, made during or after the billing reconciliation has concluded, will be reflected in the billing report for the following month.
