Overview: 

Email templates are used to communicate interactions between the platform, your clients and the platform's Operations Team. For certain events, the platform sends email messages (approvals, customer sign ups, etc.). The information in this article shows you how to do the following:


  • Customize the email templates
  • Configure multiple recipients
  • Verify your domain name


For various events, such as a variety of request types, the platform sends email notifications. You can personalize the template messages as well as the "from" and "to" email addresses. 


Configure email templates

Each email template comes with pre-written content that you may change. You can edit the subject or body text and add parameters.


Note: If you want to alter a template, keep in mind that the templates are intended to be general and work with any cloud provider. To prevent confusion, avoid customizing a message to call out a specific cloud provider.



To view the email templates, click on Settings > Account Information > Email Template


In the top portion of the screen, you see a list of the platform email templates.  Use the scrollbar to view more or use the [search] field to sort the templates by the "tag" options. 


In the bottom portion of the screen, you set the default email contact that applies across all the templates.  Alternatively, you can edit individual email templates to update From Email, From Name, Reply-To Email and Reply-To Name.


By default, some email templates are toggled off and some are toggled on depending on the actions attached to the template.  To enable an email template, select a template from the list, click [Edit] and slide toggle to turn on the setting. Click [Save].



(Optional) BCC

When it comes to cloud commerce, the BCC field is useful. You can use it to associate an email distribution list (or an individual) to any platform-defined workflow. For example, you want your sales team, not only your typical operations employees, to be notified when a consumer registers or a new product is purchased through the marketplace. This is especially helpful if you haven't yet set up automated purchase options.

 


Configure Email Template Defaults


Your domain authentication is required for the platform to send you emails. The instructions in the following sections will walk you through configuring your domain to use email templates.  Only one primary email domain can be configured. If your domain remains unverified, your platform email notifications may end up in the spam/junk folder. 


Define your branding by entering the following:

  • From Email
  • From Contact Name
  • Reply To Email
  • Reply To Contact Name

Click [Save]




Verify a Domain in the platform

Creating CNAME records to validate an email domain means confirming ownership of the domain by adding specific records to the domain's DNS (Domain Name System) configuration. Your domain will be validated in the StreamOne Ion portal for the email templates once you have created the CNAME record, and it has been propagated across the internet. You can ensure that your emails are delivered to the intended recipients and are not marked as spam or rejected by email servers by validating an email domain. Email providers often include domain validation as a security measure to prevent unauthorized use of their services. The platform uses SendGrid as the email service to authenticate all custom domains settings.


In the "Edit template defaults" form, click [Verify]. A pop-up screen contains steps to follow to update your DNS record. After completing the steps, wait 15 minutes to 1 hour, and then click [Verify].



After waiting 15 minutes to 1 hour after adding the new DNS records, then return to StreamOne Ion and select Verify in the email template default settings field. A green checkmark shows if the DNS records are valid, indicating that your domain has been authenticated. Any email sent after this update will have the information provided in the email template default settings field. 




Please ignore the red "Successfully Verified" notification. If your domain does not have a green Verified indicator, it has not been verified.

You can check the TXT record by running the following command (in Mac/Linux):

dig -t txt mailer.SES-test.com +short

You should see something like this:

"cloud-mail-verification=hHba_GCX"

 


Email Setup Conditions

Note: There are a few known "gotchas" when it comes to which information will appear on outgoing platform emails.

  • All other email entry settings in the platform will be overridden by the "From" and "Reply to Email" entries in email templates.
  • Emails are sent when "enabled" only.
  • If there are no entries in an email template(s), and the enabled box is checked, then the platform's default email identity information will be on the outgoing email
